Privacy Policy

Last updated October 31, 2026

AuriaTrack is a DBA of White Heaven Co LLC ("AuriaTrack", "we", "us"). This policy explains what information we collect, how we use it and the choices you have. It covers our website (auriatrack.com), the AuriaTrack platform (app.auriatrack.com), the AuriaTrack iPhone and iPad app, and our calls, texts and emails.

1. Two roles: our own data, and data we handle for our clients

When you deal with us directly — you visit auriatrack.com, request a consultation, become a client, work with us as a consultant or crew member, or use our app — we decide how your information is used, and this policy applies.

When you interact with one of our clients — you visit a business's website that uses AuriaTrack, fill in its form, or call its tracking number — we process that information on behalf of that business, as its service provider, to measure which of its ads bring in customers and to deliver its leads to it. That business decides how your information is used, and its own privacy policy applies. If you want to access or delete information a business collected through AuriaTrack, contact the business; we will help it respond. We do not sell client-collected information, and we do not use it for our own marketing.

2. What we collect

Information you give us

  • Contact and business details when you request a consultation, unlock pricing, download a resource, apply to be a consultant or sign up — such as your name, email, phone number, business name, industry, ZIP code and what you tell us you need.
  • Account information if you use the platform or app — your name, email, phone number and the business accounts you can access. Clients, partners and crew sign in with a one-time code texted to their phone; our team signs in with Google.
  • Content you send us — messages, comments, approvals, files, photos and videos.
  • Payment details are taken by our payment processor; we do not store full card numbers.

Information collected automatically

  • How you found us — the ad, campaign or link that brought you (UTM tags and ad click IDs such as Google's gclid and Meta's fbclid), kept in cookies so a later inquiry can be credited to the right ad.
  • How you use the site — pages viewed, time on page, scrolling and clicks, and, where enabled, heatmaps and session replays. Session replays mask everything typed into forms and all page text, and are not recorded when your browser sends a Do Not Track signal.
  • Device and connection — browser, device type, operating system, IP address and an approximate location (city or region) worked out from the IP address.
  • Calls and texts — if you call or text a tracking number, the number you called from, the time and length of the call and which ad it came from. Calls may be recorded where the business has turned recording on and the call says so.

3. The iPhone and iPad app

The AuriaTrack app is used by our team, our clients, partner agencies and freelance crew. In addition to the account information above, the app may collect:

  • Precise location — only when crew clock in or out of a shoot, and only while the app is open, so we can confirm they are on site. It is not tracked in the background.
  • Photos and videos you choose to upload. Raw shoot footage goes directly to the client's own Google Drive folder.
  • Speech in videos you turn into captions with Quick edit. This is processed on your device by Apple's speech recognition and is not sent to us.
  • A push notification token, so we can send you the notifications you choose in Settings.
  • Consultation requests made from the sign-in screen (your name, email, phone and business details). This does not create an account.

The app does not track you across other companies' apps or websites, and contains no advertising.

4. How we use information

  • To respond to your request, schedule your consultation and follow up about our services.
  • To provide the platform and app: sign-in, dashboards, reports, projects, approvals and notifications.
  • For our clients: to attribute their leads, calls and sales to the ads that produced them, and to deliver leads to their CRM.
  • To send you service messages, and — if you agreed — calls, texts and emails about your request.
  • To measure and improve our website, ads and services.
  • To keep our services secure, prevent fraud and spam, and meet legal obligations.

5. Who we share it with

We do not sell your personal information for money. We share it only with:

  • Service providers who run parts of our service for us, under contract — for example: HighLevel (CRM and booking calendar), Twilio and Quo (calls and texts), SendGrid (email), Amazon Web Services (hosting and file storage), Google (Workspace, Drive, sign-in and AI features), Auth0 (sign-in), MaxMind (approximate location from IP address), Apple (push notifications) and our payment processor.
  • Advertising platforms such as Google and Meta, to measure our own ads (see section 6), and, for our clients, to report which of their ads produced a sale. Where contact details are sent to an ad platform for this, they are hashed first.
  • A consultant you choose or are introduced to, when your request is for one.
  • The business you contacted, for information collected on its behalf (section 1).
  • Legal and safety — when required by law, to protect rights and safety, or as part of a merger, acquisition or sale of assets.

6. Cookies, analytics and advertising

On auriatrack.com we use:

  • Google Analytics and Microsoft Clarity to understand how the site is used.
  • The Meta Pixel to measure and improve our Facebook and Instagram ads. This can let Meta connect your visit with your Meta account for advertising.
  • AuriaTrack's own tracking script — the same one our clients use — to remember which ad brought you (cookies kept up to 90 days, and a first-visit record kept up to 365 days).

You can block or delete cookies in your browser settings, opt out of Google Analytics with Google's browser add-on, and control ads from Meta in your Meta ad preferences. Blocking cookies may stop some features, such as unlocked pricing, from being remembered.

7. Text messages

If you give us your mobile number and agree to be contacted, we may text you about your request, your account, sign-in codes and appointments. Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help. Agreeing to texts is not a condition of any purchase.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are never shared with third parties, except the providers that deliver the messages for us.

8. How long we keep it

We keep information for as long as we need it for the purposes above — for example, while you are a client or prospect, and afterwards as long as needed for our records, legal and tax obligations, and to resolve disputes. Session replays and similar detailed usage data are kept for a limited time and then deleted. Information we handle for a client is kept according to that client's account and instructions.

9. Security

We protect information with encryption in transit (HTTPS), access controls and limited staff access. Lead contact details — names, emails, phone numbers and messages — are encrypted when stored. No system is perfectly secure, but we work to protect your information and will notify you where the law requires.

10. Your choices and rights

Depending on where you live, you may have the right to:

  • know what personal information we hold about you and get a copy;
  • correct it or ask us to delete it;
  • opt out of marketing, and of "sharing" for targeted advertising;
  • not be treated differently for using these rights.

To make a request, email contact@auriatrack.com or call (844) 733-2875. We will verify your request before acting on it, and respond within the time the law allows. You can opt out of marketing emails with the unsubscribe link in any email, and out of texts by replying STOP. If your information came to us through one of our clients, please contact that business first (section 1).

To have your app account removed, email us from the address on your account or ask your account manager; the app's sign-in is created by invitation, so there is nothing to delete if you only requested a consultation — just ask and we will remove your request.

11. Children

Our services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. We will change the "Last updated" date above, and for significant changes we will tell clients and app users directly.
